What is a WhatsApp chat backup, and where is it stored?

A WhatsApp chat backup is an encrypted copy of your messages and media that WhatsApp saves to Google Drive on Android or iCloud on iPhone, plus a local copy on the phone. It exists for one purpose: restoring your chats onto a new phone or a reinstalled app. You cannot open it, search it or read it outside WhatsApp, and it only restores to an account with the same phone number.

An export is different. Exporting a chat produces a file you can open anywhere: a text file with the messages, plus the photos, videos and documents, or a spreadsheet with one message per row. If you want to keep, read, search or share a conversation, you want an export. If you want your phone to survive being replaced, you want the backup. Most people need both.

How do you back up WhatsApp chats to Google Drive or iCloud?

On Android: Settings, Chats, Chat backup, then choose the Google account, the frequency and whether to include videos. On iPhone: Settings, Chats, Chat Backup, then Back Up Now, with iCloud Drive turned on for WhatsApp. End-to-end encrypted backups are an option on both; if you turn them on, keep the password or the 64-digit key somewhere safe, because WhatsApp cannot recover it.

The backup is complete, but it is only useful to WhatsApp.

How do you restore a WhatsApp chat backup?

Install WhatsApp on the phone, verify the same phone number, and accept the restore prompt when it appears. The prompt only appears if a backup exists for that number in the Google account or iCloud account signed in on the phone. Moving from Android to iPhone or the reverse uses the chat transfer feature during setup, not the backup; a Google Drive backup does not restore to an iPhone.

If you need a chat after the fact and there is no backup, WhatsApp has no recovery path. That is the case an export prevents.

How do you export a WhatsApp chat to PDF, Excel or your PC?

WhatsApp's own export is in the chat menu: More, Export chat, with or without media. It produces a text file and, if you chose it, a folder of media, and it sends them through the share sheet to email, a cloud folder or your computer. It has limits on how many recent messages it includes, and it is one chat at a time, on the phone.

What is in a chat export?

Date, time, sender and message text for every message, with system messages such as joins and leaves marked. With Bulk Media & Links Download run on the same chat, each photo, video, voice note, sticker and document arrives in a ZIP with a manifest. Deleted messages are not included; WhatsApp removed them before the export could see them.

Does the other person know when you export a chat?

No. Neither WhatsApp's own export nor the extension sends anything. Exporting is reading.
